Plywood Specification Checklist: How to Prepare a Complete RFQ

For an importer, distributor, furniture factory or project contractor, the fastest way to receive a useful plywood quotation is to send a complete request for quotation (RFQ). “Please quote plywood” leaves too many decisions open: the supplier still needs to know the intended use, panel construction, face requirements, adhesive performance, dimensions, quantity and destination.

This practical checklist explains what to include before you ask for pricing. It is written for B2B buyers comparing plywood suppliers, samples and production options. A complete RFQ does not only speed up a quote; it also reduces the risk that the sample, proforma invoice and delivered panels describe different products.

1. Start with the end use

Application should come first, because it determines which performance requirements matter. Describe where and how the panel will be used:

  • Furniture and cabinetry: surface appearance, screw holding, flatness, machining and emission requirements often matter most.
  • Interior decoration: decorative face, matching, finishing compatibility and panel stability are important.
  • Concrete formwork: film surface, edge sealing, repeated-use expectations and dimensions need to be agreed clearly.
  • Transport, packaging or temporary construction: strength, weight, moisture exposure and cost may be the deciding factors.

A panel suitable for dry interior furniture is not automatically suitable for humid conditions or formwork. State whether exposure is dry, occasional humidity, frequent wetting or exterior use. If your market has a required standard or test method, name it in the RFQ instead of assuming that a product name alone communicates the requirement.

2. Define the panel construction

“Plywood” describes a panel made from cross-laminated veneers, but many construction details affect price and performance. Ask the supplier to confirm the construction in writing.

If the final appearance is important, send a reference photo, approved sample or written face-grade description. Names such as “A grade” and “BB/CC” can be interpreted differently by different suppliers. It is better to identify permitted knots, patches, color variation, overlaps, sanding marks and repairs.

3. List dimensions and tolerances

Give the finished panel length, width and thickness in the unit you use for purchasing. Include whether the size is nominal or finished, plus any thickness, squareness, length/width and flatness tolerances required by your process.

  • Preferred sanding or surface preparation

For factories using automated cutting, lamination or press equipment, tolerance requirements should be confirmed before sampling. A lower initial panel price can create higher waste if panel thickness or dimensions are not consistent with the buyer’s production process.

4. Specify technical and compliance requirements carefully

Only request documents and tests that are relevant to your market and product use. Your RFQ can ask the supplier which documents are available for the proposed panel and whether they apply to the exact product configuration being quoted.

For example, buyers may need information about formaldehyde-emission limits, chain-of-custody documentation, material origin, bond performance or product-specific compliance. The required evidence can differ by country, customer and panel construction. Do not rely on a certificate name alone: ask for the document scope, validity, issuing body and whether the proposed product is covered.

5. Make the quotation comparable

Use one RFQ structure for all suppliers. Ask each supplier to quote the same construction, size, packing method, Incoterm and quantity. If a supplier proposes an alternative, request that it is clearly separated from the requested specification.

  • Price basis and currency
  • Incoterm and named port or destination
  • MOQ and price breaks by quantity
  • Sample availability, size and cost
  • Production lead time after deposit and artwork/specification approval
  • Packaging description and estimated loading quantity
  • Payment terms proposed
  • Quotation validity period

For container shipments, state whether you need an estimated panel count, carton count, pallet plan or container loading suggestion. Packaging is not an afterthought: it affects damage risk, unloading and your landed cost calculation.

6. Confirm the sample before mass production

A sample should represent more than the face veneer. Before approving it, check dimensions, thickness, face and back appearance, core condition at cut edges, sanding or film quality, labeling and packaging. Record the approved sample with photos, a dated specification sheet and an internal approval reference.

When the order is confirmed, the purchase order should repeat the agreed specification. This provides one reference point for production, pre-shipment inspection and final receipt.
